    Job Description

    Essential Characteristics

    The Wetlands Institute is currently accepting applications for the position of Administrative Coordinator. Applicant will have two areas of responsibility and will be responsible for coordinating and completing a range of administrative and development duties. Responsibilities will include providing administrative support to the Executive Director across a range of topical areas. The position will support scheduling, overseeing and implementing a series of special events, supporting annual giving programs, assisting with development and successful implementation of organizational communication strategies. Position will assist and report to the Executive Director and work on the development and marketing team. Strong personal feelings about conserving and protecting the environment and developing and growing the community relationships of an environmental non-profit are important to the successful applicant.

    Essential Duties and Responsibilities

    1. Provide administrative support to the Executive Director
    2. Coordinate scheduling, communication and planning tasks for board logistical support
    3. Provide oversight and coordination to varied tasks including communications and development annual project schedules
    4. Support implementation of short and long range fundraising programs that support the mission of The Wetlands Institute
    5. Manage planning of donor cultivation events
    6. Coordinate planning and manage annual auction, festivals and staff team building events
    7. Use Donor Perfect fundraising software to develop mailing lists, invitation lists, and coordinate events
    8. Work with the Marketing and Communications Specialist to develop thoughtful, mission-centric marketing and communication materials for general promotion of The Wetlands Institute and its special events

    Minimum Job Qualifications

    • Bachelor’s degree in a relevant discipline (Communication, Marketing, Public Administration)
    • Minimum of four years’ experience in event coordination, marketing or fundraising in a nonprofit or foundation sector
    • Excellent oral and written communication skills, interpersonal skills and presentation skills are essential
    • A demonstrated ability to build strong relationships, motivate and effectively work with board members, donors and volunteers
    • Demonstrated entrepreneurial spirit coupled with excellent judgment and ability to assess risk
    • Ability to handle sensitive matters with appropriate discretion
    • Experience and comfort in the development and design of fundraising and marketing products, including brochures, leaflets, web pages, social media, E-newsletters, etc.
    • Ability to perform multiple tasks with effective time management and organizational skills
    • An understanding of and commitment to The Wetlands Institute mission

    Salary commensurate with experience.     The position will be located at The Wetlands Institute, located on a 15,000 acre tidal marsh in Stone Harbor, New Jersey. The Wetlands Institute is a 501c3 non-profit organization with a mission to promote appreciation, understanding and stewardship of wetlands and coastal ecosystems through our programs in research, education and conservation.     The Wetlands Institute works with area high schools, service organizations, and the public on volunteer conservation initiatives designed to protect and preserve coastal and wetland ecosystems and their inhabitants, which includes providing authentic, experiential engagement opportunities for participants.
